{"id":1023,"date":"2009-10-29T22:41:42","date_gmt":"2009-10-29T22:41:42","guid":{"rendered":"http:\/\/dalelane.co.uk\/blog\/?p=1023"},"modified":"2009-10-30T09:42:26","modified_gmt":"2009-10-30T09:42:26","slug":"bye-bye-outlook","status":"publish","type":"post","link":"https:\/\/dalelane.co.uk\/blog\/?p=1023","title":{"rendered":"Bye bye, Outlook"},"content":{"rendered":"<p>As a major <a href=\"http:\/\/www.davidco.com\/what_is_gtd.php\" target=\"_blank\">GTD nerd<\/a>, it&#8217;s a temptation to constantly tweak and tinker with my personal productivity systems. <\/p>\n<p>But I normally resist. This week, I&#8217;ve had a major overhaul, so thought I&#8217;d share what I&#8217;ve been doing and some of my reasons why. <\/p>\n<p><em>I should mention that I nicked a lot of these ideas from <a href=\"http:\/\/blog.garethj.com\/\" target=\"_blank\">Gareth<\/a>, so big thanks to Gareth!<\/em><\/p>\n<p><a href=\"http:\/\/www.flickr.com\/photos\/amylane\/4055732445\/\" target=\"_blank\"><img decoding=\"async\" border=0 align=left src=\"http:\/\/farm3.static.flickr.com\/2709\/4055732445_c2895c9a10_m.jpg\" hspace=\"10\" vspace=\"10\"\/><\/a><strong>Why the change?<\/strong><\/p>\n<p>There were a number of reasons that motivated this. <\/p>\n<p>Part of it was because I&#8217;m switching from mainly using Windows Mobile phones to my new shiny Palm Pre. <\/p>\n<p>Part of it was a desire to move my main workstation from Windows XP to <a href=\"http:\/\/www.ubuntu.com\/\" target=\"_blank\">Ubuntu<\/a>, after seeing so many friends and colleagues rave about it, hearing an inspiring talk on Linux from <a href=\"http:\/\/www.sutor.com\/\" target=\"_blank\">Bob Sutor<\/a>, and getting so much abuse from people I&#8217;m too polite to name \ud83d\ude09 <br clear=\"all\"\/><\/p>\n<p><!--more--><\/p>\n<hr \/>\n<p><strong>Todo list<\/strong><\/p>\n<p><strong>Was: Outlook Tasks<\/strong><br \/>\n<img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-outlook.gif\" hspace=10 vspace=10 align=\"left\"\/>Next actions lists are a bit part of GTD, and my lists were all in <a href=\"http:\/\/www.microsoft.com\/outlook\/\" target=\"_blank\">Outlook<\/a>. <\/p>\n<p>I used Outlook&#8217;s categories to apply context, and had everything in there. Some people live out of their inbox &#8211; with me, and my anal approach to <a href=\"http:\/\/inboxzero.com\/\" target=\"_blank\">Inbox Zero<\/a>, it was my tasks list. Wakoopa regularly showed that <a href=\"http:\/\/wakoopa.com\/dalelane\/usage\" target=\"_blank\">Outlook was amongst my most-used apps<\/a>, and this was mostly due to Tasks. <\/p>\n<p>ActiveSync kept this in sync with the Outlook Mobile on my Windows Mobile phones, so I had my task lists with me at all times.<br clear=\"all\"\/><br \/>\n<strong>Now: Remember The Milk<\/strong><br \/>\n<a href=\"http:\/\/www.rememberthemilk.com\/\" target=\"_blank\"><img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-rtm.gif\" hspace=10 vspace=10 align=\"right\" border=0\/><\/a>My lists are all moved into <a href=\"http:\/\/www.rememberthemilk.com\/\" target=\"_blank\">Remember The Milk<\/a> (RTM) &#8211; a web-based task management app. <\/p>\n<p>Tasks can be categorised, tagged, and associated with a location &#8211; making it ideal for GTD lists viewed by project and\/or <a href=\"http:\/\/www.evomend.net\/en\/what-not-gtd-context\" target=\"_blank\">context<\/a>. <\/p>\n<p>The <a href=\"http:\/\/www.rememberthemilk.com\/services\/googlegears\/\" target=\"_blank\">Google Gears support<\/a> means I can run it like a desktop app while I&#8217;m offline &#8211; even with it&#8217;s own window, icon, and shortcuts. It doesn&#8217;t feel like using a website. <\/p>\n<p>More importantly though, this means I&#8217;m not tied to Windows &#8211; I can run it in Firefox on Ubuntu.<\/p>\n<p>Although Outlook syncs seamlessly with my Windows Mobile phones, it doesn&#8217;t really play nicely with either the Pre or the <a href=\"http:\/\/dalelane.co.uk\/blog\/?p=310\">Android G1<\/a>. RTM has an <a href=\"http:\/\/www.rememberthemilk.com\/services\/android\/\" target=\"_blank\">awesome Android app<\/a>. It also has a pretty good <a href=\"http:\/\/www.rememberthemilk.com\/services\/milksync\/windowsmobile\/\">Windows Mobile sync tool<\/a> with over-the-air syncing that doesn&#8217;t rely solely on ActiveSync or Outlook that would tie me back to Windows. <\/p>\n<p>Sadly no Pre app yet. There is an <a href=\"http:\/\/www.rememberthemilk.com\/services\/iphone\/web\/\" target=\"_blank\">iPhone-friendly mobile website<\/a>&#8230; but it&#8217;s too slow and unresponsive to be something I&#8217;d rely on, though &#8211; I want a native app. <\/p>\n<p>In the meantime, the ability to <a href=\"http:\/\/www.rememberthemilk.com\/services\/email\/\" target=\"_blank\">add a quick task by sending an email<\/a> to the RTM bot has proven to be a ideal tool for capturing tasks from my mobile. <br clear=\"all\"\/><\/p>\n<hr \/>\n<p><strong>Calendar<\/strong><\/p>\n<p><strong>Was: Outlook Calendar<\/strong><br \/>\n<img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-outlook.gif\" hspace=10 vspace=10 align=\"left\"\/>Any time I need to be anywhere went into my Outlook calendar. <\/p>\n<p>I loved that it would sync seamlessly with my Windows Mobile phones, so I had my schedule with me at all times and reminders in my pocket. <\/p>\n<p>I loved the integration with my email so I could drag an email about an event from my Inbox and drop it on my calendar to create an event pre-filled in with all the background info I need.<br clear=\"all\"\/><br \/>\n<strong>Now: Google Calendar<\/strong><br \/>\n<a href=\"http:\/\/calendar.google.com\/\" target=\"_blank\"><img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-calendar.gif\"  hspace=10 vspace=10 align=\"right\" border=0\/><\/a>I used <a href=\"http:\/\/www.google.com\/support\/calendar\/bin\/answer.py?answer=98563\" target=\"_blank\">Google Calendar Sync<\/a> to move my diary into <a href=\"http:\/\/www.google.com\/calendar\/\" target=\"_blank\">Google&#8217;s online calendar<\/a>. <\/p>\n<p>Like RTM, <a href=\"http:\/\/www.google.com\/support\/calendar\/bin\/topic.py?hl=en-uk&#038;topic=19498\" target=\"_blank\">Google Gears support<\/a> means that I can treat this as a desktop app &#8211; with all the characteristics of a native app, like working offline, launching from a shortcut in it&#8217;s own dedicated window, etc.<\/p>\n<p>It also means that I&#8217;m not tied to Windows any more, and frees me to switch to Firefox on Ubuntu. <\/p>\n<p><a href=\"http:\/\/www.google.com\/mobile\/products\/sync.html#p=winmo\" target=\"_blank\">Google Sync<\/a> means I can still have my calendar on my Windows Mobile phones, syncing over the air without the need for Outlook or a Windows computer. Android syncs the Google calendar with my G1, and Synergy keeps it up to date with my Palm Pre. I can also <a href=\"http:\/\/www.notesdesignblog.com\/NotesDesignBlog\/NDBlog.nsf\/dx\/lotus-notes-8.5.1-greater-google-integration.htm\" target=\"_blank\">import it into Lotus Notes<\/a> which I use at work. <\/p>\n<p>I can have my diary with me wherever I am and whatever I&#8217;m using.<\/p>\n<p>I do miss the integration with email &#8211; creating a new calendar event from an incoming email is more fiddly than it was with Outlook, but it&#8217;s a small price to pay.<br clear=\"all\"\/><\/p>\n<hr \/>\n<p><strong>Email<\/strong><\/p>\n<p><strong>Was: Outlook Email<\/strong><br \/>\n<img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-outlook.gif\" hspace=10 vspace=10 align=\"left\"\/>I have several email addresses &#8211; including a personal, private address, a dalelane.co.uk one that is shared widely, one for <a href=\"http:\/\/solentyouthaction.org.uk\/\" target=\"_blank\">Solent Youth Action<\/a>, etc. <\/p>\n<p>I used Outlook to pull them all out of the various POP3 mailboxes and get them into one place. <\/p>\n<p>And ActiveSync kept them all on my Windows Mobile phones, which I used for the most of my <a href=\"http:\/\/dalelane.co.uk\/page.php?id=1043\">email triage<\/a>.<br clear=\"all\"\/><br \/>\n<strong>Now: Gmail<\/strong><br \/>\n<a href=\"http:\/\/gmail.com\/\" target=\"_blank\"><img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-gmail.gif\"  hspace=10 vspace=10 align=\"right\" border=0\/><\/a>Similar to my RTM and Google Calendar, <a href=\"http:\/\/gmail.com\/\" target=\"_blank\">gmail<\/a> gives me web-based email available from anywhere, using Google Gears to also give me the feel and offline access of a desktop app that can run on Windows or Linux. <\/p>\n<p>Gmail can <a href=\"http:\/\/mail.google.com\/support\/bin\/answer.py?hl=en-GB&#038;ctx=mail&#038;answer=21288\" target=\"_blank\">suck in emails from up to five other POP3 mailboxes<\/a> bringing all my mail into one place, marking mails from each account with different labels so I can keep them separate, and storing them online so I can access them anywhere. <\/p>\n<p><a href=\"http:\/\/www.google.com\/mobile\/products\/sync.html#p=winmo\" target=\"_blank\">Google Sync<\/a> pushes emails to my Windows Mobile phones without the need for Outlook or a Windows PC, Android gives me push email to my G1, and the Palm Pre&#8217;s email app does a great job with dedicated gmail support. <\/p>\n<p>With Gmail, I can get to my emails, from all my accounts, on any device or desktop OS. And the spam filters are much better than I had on Outlook, so I&#8217;m getting less junk pushed to my phones. <br clear=\"all\"\/><\/p>\n<hr \/>\n<p><strong>Notes and project materials<\/strong><\/p>\n<p><strong>Was: bLADE Wiki<\/strong><br \/>\n<a href=\"http:\/\/92.48.117.50\/~dalelane\/bladewiki\/homepage.htm\" target=\"_blank\"><img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-wikiicon.gif\"  hspace=10 vspace=10 align=\"right\" border=0\/><\/a>I use a <a href=\"http:\/\/dalelane.co.uk\/blog\/?s=%22blade+wiki%22\">personal wiki app<\/a> to store all my notes. Meeting notes, project notes, code snippets, plans, someday\/maybe lists, images, blog post drafts&#8230; it all goes into the wiki. <\/p>\n<p>The wiki app runs on Windows Mobile as well as Windows, so with Windows Mobile I would have my notes with me wherever I was. <\/p>\n<p>The app gives me a linked, structured and searchable repository for my notes &#8211; a digital extension to my brain.<br clear=\"all\"\/><br \/>\n<strong>Now: bLADE Wiki on Mono<\/strong><br \/>\n<a href=\"http:\/\/92.48.117.50\/~dalelane\/bladewiki\/homepage.htm\" target=\"_blank\"><img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-wiki.gif\"  hspace=10 vspace=10 align=\"left\" border=0\/><\/a> Unfortunately, as a .NET app, this is one of the hardest to migrate from. There isn&#8217;t an easy way to export the notes to another wiki, and I&#8217;ve kinda got used to the app. <\/p>\n<p>I&#8217;ve played with some alternatives, and while some were neat (<a href=\"http:\/\/www.evernote.com\/\" target=\"_blank\">Evernote<\/a> was okay) I couldn&#8217;t find anything else that offered linked, encrytable notes that can be accessed on a mobile device. <\/p>\n<p>So I&#8217;ve <a href=\"http:\/\/twitter.com\/dalelane\/status\/5181996615\" target=\"_blank\">made a start<\/a> on porting the app to run on Linux under <a href=\"http:\/\/www.mono-project.com\/\" target=\"_blank\">Mono<\/a>. It&#8217;s buggy, but the basics are there, and I think it will be do-able with more work. <\/p>\n<p>This doesn&#8217;t address the mobile issue, as the mobile .NET version I run on Windows Mobile wont port to Android or Palm&#8217;s webOS  so easily. Until I figure this out, I&#8217;ll keep the <a href=\"http:\/\/dalelane.co.uk\/blog\/?p=277\">Redfly<\/a> on me with a Windows Mobile phone for mobile access to my notes. <br clear=\"all\"\/><\/p>\n<hr \/>\n<p><strong>Finances<\/strong><\/p>\n<p><strong>Was: Microsoft Money<\/strong><br \/>\n<img decoding=\"async\" src=\"http:\/\/dalelane.co.uk\/blog\/post-images\/091029-msmoney.gif\" hspace=10 vspace=10 align=\"right\" border=0\/>I&#8217;ve used Microsoft Money since using MS Money 98 while at University. My mny file contains everything I&#8217;ve spent since then, and has been upgraded twice &#8211; first to MS Money 2003, then to MS Money 2005. <\/p>\n<p>I&#8217;m a bit of a hoarder so I&#8217;m reluctant to let go of that historical record and start again&#8230; <\/p>\n<p>It runs (<a href=\"http:\/\/appdb.winehq.org\/objectManager.php?sClass=application&#038;iId=79\" target=\"_blank\">more or less<\/a>) under <a href=\"http:\/\/www.winehq.org\/\" target=\"_blank\">Wine<\/a> so it shouldn&#8217;t be enough to stop me moving to Linux. <\/p>\n<p>However, I do still want to find a new home for my financial data, particularly given <a href=\"http:\/\/www.microsoft.com\/MONEY\/default.mspx\" target=\"_blank\">Microsoft&#8217;s decision to discontinue MS Money<\/a>. Any advice for good alternatives would be gratefully received.<\/p>\n<hr \/>\n<p>And that&#8217;s pretty much it &#8211; everything else that I use day to day (<a href=\"http:\/\/eclipse.org\/\" target=\"_blank\">eclipse<\/a>, <a href=\"http:\/\/pidgin.im\/\" target=\"_blank\">pidgin<\/a>, <a href=\"http:\/\/www.gimp.org\/\" target=\"_blank\">gimp<\/a>, <a href=\"http:\/\/picasa.google.co.uk\/\" target=\"_blank\">Picasa<\/a>, <a href=\"http:\/\/www.ibm.com\/software\/lotus\/products\/notes\/\" target=\"_blank\">Lotus Notes<\/a>, <a href=\"http:\/\/tweetdeck.com\" target=\"_blank\">TweetDeck<\/a> etc.) all run just as well under Ubuntu Linux as they do on Windows. <\/p>\n<p>I called this post &#8220;Bye bye, Outlook&#8221; because that has been the biggest pain point. Moving from Windows to Linux itself didn&#8217;t put me off nearly as much as the idea of having to wean myself off of Outlook. <\/p>\n<p>But I&#8217;ve found that it is possible to find cross-platform desktop alternatives with good integration for multiple mobile platforms. <\/p>\n","protected":false},"excerpt":{"rendered":"<p>As a major GTD nerd, it&#8217;s a temptation to constantly tweak and tinker with my personal productivity systems.
